Projects & Structure

Projects start as a simple task list. Add phases whenever you want a roadmap — they're optional, define your own, and progress is tracked automatically as tasks are completed. Tasks without a phase live in an Unphased bucket.

Tasks, Board & Timeline

Create and assign tasks, set due dates, and track status across three views: a drag-and-drop kanban board, a Gantt-style timeline, and a focused list. Assignees get push notifications and can update from web or mobile.

Submittals & Approvals

Material submittals move through a clear flow — submit → under review → approved, rejected, or revision requested. Every (re)submission is numbered, attachments are versioned, and reviewers are notified.

Variation Orders

Capture scope changes as variation orders with their own cost and time deltas. Submit for approval, track the decision, and roll approved changes into the project's contract value.

Subcontractor Valuations

Built for subcontractors: set BOQ rates per line item, then track quantities supplied, installed, and approved — by supply, install, and inspection-request stages. Turn approved progress into payment applications.

Files & Documents

Upload drawings, specs, and documents with full version history. Run them through an approval workflow — submit, approve, or request revisions — see who uploaded what, and share client-visible files directly.

Budget & Change Orders

Track contract value, payments received, and expenses by category. Edit any entry, log change orders, keep a contract-value history with notes, and get an alert before spending runs ahead of what's been collected.

Client Portal

Clients get a clean, read-only portal link — no account or app download. They review progress and shared files, and sign off on phases when their approval is needed. They never see internal tasks or discussions.

Field Reports

Site supervisors submit daily field reports from the mobile app — work completed, blockers with a severity level, what's planned for tomorrow, and site photos. Project leads are notified instantly.

Roles & Permissions

Team members are assigned roles — from owner and project manager to site engineer and subcontractor — and each role determines what they can see and do. Clients are restricted to the portal view.

Frequently asked questions

Getting Started

How do I create my workspace?

Sign up at biltit.app, choose your studio name, and you're in. The onboarding flow walks you through creating your first project and inviting team members — takes under 5 minutes.

How do I invite my team?

Go to Settings → Team, enter their email address, and choose their role. They'll receive an email invitation with a link to join your workspace.

What types of teams is Biltit for?

Two tracks share one platform. Design studios, architects, and finishing contractors get phases, tasks, drawings, and a client portal. Subcontractors get a commercial track — BOQ rates, quantity tracking, and valuations. If you run construction or fit-out projects, Biltit is built for you.

Projects & Tasks

Do I have to use phases?

No. Phases are optional. A project starts as a simple task list, and you add phases only when you want a roadmap, timeline lanes, or client sign-off. When you do use them, you define your own — Concept Design, Procurement, Execution, or whatever fits — and each gets its own progress.

How does task assignment work?

Create a task, pick a team member, set a due date, and optionally add a description. The assignee gets a push notification immediately and can update status from web or mobile. View tasks as a kanban board, a Gantt-style timeline, or a list.

What kinds of tasks can I create?

More than checklists. Alongside standard tasks you can create BOQ line items, material submittals that move through a submit → review → approve flow with versioned attachments, and variation orders that carry their own cost and time deltas.

Subcontractors & Commercial

Does Biltit work for subcontractors?

Yes — there's a dedicated subcontractor track. Set BOQ rates per line item, then track quantities supplied, installed, and approved across supply, install, and inspection-request stages, so progress and value stay in sync.

Can I produce payment applications / valuations?

Yes. As approved quantities are logged against BOQ rates, Biltit rolls them into valuations you can use for interim payment applications — no separate spreadsheet to reconcile.

How do submittals and variation orders work?

A submittal moves draft → submitted → under review → approved, rejected, or revision requested; every resubmission is numbered and attachments are versioned. A variation order captures a scope change with cost and time deltas and its own approval, and approved changes update the project's contract value.

Client Portal

Do my clients need to create an account?

No. Clients access the portal through a secure link — no sign-up, no app download. They can view progress and review shared files instantly.

What can clients see in the portal?

Clients see project progress, phase timelines, shared files, and a payment summary, and they can sign off on phases when their approval is needed. They cannot see internal tasks, team discussions, or any data you haven't explicitly shared.

Can I have multiple clients on one project?

Yes. You can invite multiple client contacts to the same project. Each gets their own portal access.

Mobile App

Is the mobile app free?

Yes. The mobile app is included with your Biltit account at no extra cost. Available on iOS and Android.

Can I use the app offline?

The app stores limited data locally for offline viewing. When you reconnect, everything syncs automatically. Field reports drafted offline will be submitted once connectivity is restored.

How do push notifications work?

After installing the app and granting notification permissions, you'll receive alerts for task assignments, status changes, blockers, and daily reminders. You can customize which types you receive in notification settings.

Pricing & Plans

Is Biltit free?

Biltit is free during the beta period. No credit card required. When we introduce paid plans, early adopters will get a generous discount locked in forever.

When does the beta end?

We're onboarding studios in batches and will announce pricing before the beta ends. You'll always get advance notice before any changes.

Security & Data

Where is my data stored?

Your data is stored securely on infrastructure in the EU (Frankfurt). We use encryption in transit (TLS) and at rest, with row-level security policies that enforce workspace and role-based access controls.

Can I export my data?

Yes. You can export your project data at any time. We believe your data belongs to you.

What happens if I delete my account?

We remove your personal information within 30 days of account deletion, except where required by law. See our Privacy Policy for full details.
